There are two types of tradie vehicles: the ones with receipts… and the ones with entire ecosystems of receipts. Some start in the wallet, migrate to the cup holder, and end up forming a small suburb under the passenger seat. And somehow, when the accountant asks for records, they all go missing at once. Funny that.
The real reason receipts multiply
Receipts don’t breed because you’re lazy. They breed because there’s no simple landing spot. When the workday is full-on, admin becomes the thing you do “later”… and later turns into “never”.
Here’s what the receipt pile actually costs you:
- missed deductions (money you could have kept)
- stress when BAS/EOFY comes around
- time wasted hunting for paper you already “had”
- arguments that start with “Where did you put it?” and end with “Don’t start.”
The “car console filing system” myth
It goes like this:
“I’ll keep it all together in the glovebox.”
Then the glovebox turns into a paper avalanche, and every time you open it, something slides out like a sad, crumpled confetti cannon.
A glovebox is not a filing system.
It’s a paper purgatory.
The practical fix: give receipts a home (and a deadline)
You don’t need a fancy app or a full admin day. You need:
- One container
- a zip pouch, an envelope, or a document wallet
- labelled: THIS WEEK’S RECEIPTS
- One weekly reset time
- Friday arvo, Saturday morning, or Monday 7:30am
- 15 minutes max
- One rule
- Receipts go in the container the same day, not “when I remember”.
The 4-pile method (fastest sorting ever)
When it’s reset time, dump the lot and do this:
Pile 1: Job Materials
Pile 2: Fuel & Running Costs
Pile 3: Tools & Equipment
Pile 4: Unknown / “What is this?”
That last pile is normal. It’s also the pile that becomes expensive if you never deal with it.
The ‘photo it now’ habit (for when paper goes feral)
If you’re the kind of person who loses paper while standing still:
- take a photo of the receipt at the counter
- email it to one place: receipts@yourbusiness.com (or your accounting program)
- subject line: Supplier – Amount – Job name
That’s it. Not perfect. But miles better than “somewhere in the ute”.
The “Stop the bleed” rule for cash
Here’s a little truth bomb: receipts also hide spending leaks.
Once a week ask:
- What did we buy that we didn’t actually need?
- What did we buy twice because we couldn’t find the first one?
- What did we buy because we were rushed?
This one question saves hundreds (sometimes thousands) over a year.
A tiny challenge (because you’ll feel the win fast)
This weekend: clean out the glovebox and console.
- Keep what you need (rego, insurance, etc.)
- Toss the rubbish
- Put receipts into ONE “THIS WEEK” pouch
You’ll swear you can breathe better immediately.

Receipts will always exist. The goal isn’t “perfect”. The goal is not letting them run your life — or your marriage.
Because nothing says romance like someone yelling:
“WHY ARE THESE RECEIPTS FROM 2021 STILL IN HERE?”
